Role Overview:
My client is looking to appoint an experienced HR & Operations Coordinator to join their established HR team based in Doncaster.
This is a varied, hands-on coordination role, supporting the day-to-day running of the HR function within an established business operating across the infrastructure and energy sectors.
The team is looking for someone who can take ownership of administrative processes, improve efficiency and provide reliable support across a range of HR and business support activities.
This is not a traditional HR advisory position, and previous HR experience or CIPD qualifications are not essential. The hiring managers are particularly interested in candidates from strong administrative, office coordination, facilities coordination or compliance backgrounds who are confident managing multiple responsibilities and working independently.
The role will involve maintaining accurate employee records, coordinating recruitment and onboarding activities, supporting learning and development processes, preparing reports and ensuring documentation is organised and audit-ready.
A significant part of the position will involve working with Excel to manage data and produce weekly and monthly reports. The team currently operates several manual processes, so someone who is confident using Excel, including VLOOKUPs, and can identify opportunities to improve administrative efficiency would be particularly well suited.
You will be joining a small, supportive and experienced HR team where attention to detail, professionalism and a proactive approach are highly valued.
The business is ideally looking for someone who wants to establish themselves within a coordination role over the medium to long term, taking ownership of processes and becoming a dependable member of the team.
The position is primarily office-based in Doncaster, with the potential for up to two days of hybrid working once established in the role. This flexibility is discretionary rather than contractual.
Key Responsibilities:
·Provide comprehensive administrative and coordination support to the HR team
·Take ownership of day-to-day HR administration, ensuring processes are completed accurately and efficiently
·Maintain employee personnel files, records and documentation, ensuring information is accurate, up to date and GDPR compliant
·Support recruitment activities, including interview coordination, booking meeting rooms and arranging associated travel and logistics
·Coordinate onboarding processes, including new starter documentation and employee records
·Manage administrative activities within the company's learning and development platform, including setting up new starters and coordinating training requirements
·Prepare weekly and monthly reports using Microsoft Excel, including data analysis, VLOOKUPs and maintaining spreadsheets
·Support HR reporting, including maintaining and analysing employee data relating to absence, turnover and other key HR metrics
·Identify opportunities to improve existing reporting and administrative processes
·Maintain and update organisational charts and internal employee information
·Ensure personnel records and compliance documentation are organised and ready for internal and external audits
·Coordinate meetings, training events and other business activities, including booking venues, arranging catering and managing logistics
·Support training administration, including raising purchase orders and maintaining training records
·Assist with fleet administration and associated documentation where required
·Liaise with payroll and other internal departments to ensure accurate employee information is maintained
·Prepare meeting minutes and follow up on outstanding actions
·Monitor outstanding administrative tasks and proactively follow up with colleagues to ensure deadlines are met
·Communicate professionally with employees, managers and senior stakeholders across the business
·Support the HR team with general administration, ad hoc projects and process improvements
·Manage competing priorities independently while maintaining a high level of accuracy and attention to detail
Essential Requirements:
·Minimum 2-3 years' experience within an administration, office coordination, business support or similar role
·Experience within transport, infrastructure, engineering, energy or a similar operational environment
·Strong Microsoft Excel skills, including practical experience using VLOOKUPs and managing data
·Experience producing reports, maintaining spreadsheets and working with administrative systems
·Experience coordinating administrative processes and ensuring tasks are completed accurately and on time
·Confident IT skills and the ability to learn new systems and platforms quickly
Desirable Requirements:
·Previous experience working within an HR or people administration function
·Background in office coordination, facilities coordination or compliance administration
·Experience supporting recruitment, onboarding or employee documentation processes
·Exposure to learning and development systems or training coordination
·Experience preparing documentation for audits or working within a compliance-focused environment
·Experience improving administrative processes or streamlining manual reporting activities
·Experience supporting payroll administration, fleet administration or purchase order processes
Candidate Profile:
The hiring managers are particularly interested in a highly organised, dependable individual who enjoys taking ownership of administrative responsibilities and ensuring that day-to-day processes run smoothly.
You should be a proactive self-starter who can identify what needs doing, prioritise your workload and complete tasks without needing constant direction.
Strong attention to detail is essential, particularly when dealing with employee records, reporting, onboarding documentation and compliance requirements.
The team is looking for someone with a calm, professional and approachable personality who will work well within a close-knit office environment.
You should be comfortable communicating with stakeholders at all levels, including senior management, and confident following up on outstanding actions when required.
This opportunity would particularly suit an experienced Administrator, Office Coordinator, Facilities Coordinator or Business Support professional who enjoys a varied workload and is looking for a stable position with genuine responsibility.
Candidates do not need formal HR qualifications or previous HR experience, provided they can demonstrate strong administrative capability, excellent Excel skills and the ability to manage processes independently.
This is an excellent opportunity to join a supportive HR team within an established business, taking ownership of a varied administrative workload and playing an important role in improving processes and supporting the wider organisation.
If you are interested in this opportunity, please send your CV to Brooke Stell at Carrington West or call (phone number removed) for a confidential discussion.
