Office & Operations Coordinator

Thorn Baker Industrial Recruitment are currently recruiting for an experienced Office & Operations Manager to join a successful distribution business based in the Bingham area of Nottingham.

This is a varied role for someone who enjoys being the person who keeps everything running smoothly. You'll take ownership of the day-to-day office operation, while also supporting HR processes, coordinating workplace requirements and managing relationships with suppliers and contractors.

Rather than being a purely HR or Facilities position, this role would suit an experienced office professional who is comfortable wearing a number of hats, working independently and dealing with whatever needs sorting on the day.

The Role

As the main point of contact for a wide range of office and workplace requirements, you'll have responsibility for keeping things organised, resolving issues and making sure the business has the support it needs day to day.

Your responsibilities will include:

• Taking ownership of the day-to-day running of the office.
• Coordinating maintenance, repairs, contractors and external service providers.
• Managing relationships with suppliers and monitoring office service contracts.
• Overseeing office security arrangements, including alarms, CCTV and access requirements.
• Coordinating waste and recycling services.
• Managing office supplies, stationery and workplace consumables.
• Supporting the onboarding of new employees and preparing relevant documentation.
• Maintaining accurate employee records and HR administration.
• Preparing offer letters, contracts and new starter paperwork.
• Liaising with the external HR provider when required.
• Supporting internal communications and employee initiatives.
• Identifying ways to improve the office and workplace operation.
• Providing wider business administration and support where required.

About You

We're looking for an experienced office professional who is used to taking ownership and being the go-to person within a business.

This could suit someone currently working as an Office Manager, Senior PA, Executive Assistant, Office & Operations Manager or in a similar senior business support role.

You'll need to be confident managing a varied workload and comfortable dealing with both people and practical day-to-day issues. Experience across the following areas would be particularly useful:

• Office management or senior business support experience.
• Coordinating suppliers, contractors, maintenance or workplace services.
• HR administration, including onboarding, contracts and employee records.
• Managing multiple priorities with minimal supervision.
• Building effective relationships with employees, suppliers and external providers.
• Strong organisation and attention to detail.
• A proactive, practical approach to resolving problems.
• Good knowledge of Microsoft Office and general business systems.
