We are currently looking for a precise, organized, and data-driven On-Site Account Administrator to manage the core systems, data entry, and payroll administration for one of our busiest key accounts.

Overview of Role

Part of the dedicated Prestige On-Site Team, the On-Site Account Administrator plays a pivotal role in keeping our client's daily staffing data, payroll, and compliance records immaculate. This is a highly administrative and systems-focused role. You will take full ownership of daily data entry processing, shift logging, attendance tracking, and weekly payroll administration. Working on-site on Sundays to align with the client's weekend operations, and from our office Monday to Thursday, you will act as the administrative backbone of the account, ensuring all labor tracking, compliance data, and system records match operational requirements.

Main Duties

Payroll and Data Management

• Execute complete weekly payroll administration by collecting, verifying, and inputting time-tracker details, FOB data, and Timeware reports.
• Process and log staff absences, sickness notifications, and holiday requests into the database, calculating accurate accruals under the Working Time Directive.
• Maintain, update, and manage the internal recruitment tracking system, inputting candidate profile changes and deployment logs daily.
• Compile, format, and generate accurate daily, weekly, and monthly KPI performance spreadsheets for senior management and client review.

Compliance and General Administration

• Audit and maintain digital employee compliance folders, ensuring all records are up to date and meet UK legislation guidelines including Right to Work, AWR, and GDPR.
• Input and organize pre-planned shift rotas, worker confirmations, and database schedules to guarantee 100% data traceability.
• Handle general office administration tasks, including archiving, updating labor pool spreadsheets, and processing profile forms.
• Field administrative and wage queries from the temporary workforce, investigating discrepancies and resolving them professionally.

Communication and Team Support

• Provide administrative support to on-site coordinators, helping to process replacement labor data for reported shift absences.
• Maintain clear digital and telephone correspondence with client managers, supervisors, and Prestige Head Office regarding workforce availability.
• Attend operational briefings and planning meetings where requested to record labor forecasts and data changes.
• Support out-of-hours or on-call administration tracking where necessary to maintain account coverage.

Person Specification

Essential:

• Strong computer literacy with comprehensive experience using Microsoft Excel, Word, and Outlook databases.
• Exceptional data entry accuracy with a keen eye for detail and the ability to process high-volume information under strict payroll deadlines.
• Excellent written and verbal communication skills to manage queries professionally.
• Absolute discretion and the ability to maintain total confidentiality when handling sensitive payroll and HR documentation.
• Highly organized with a proven ability to prioritize tasks independently within a dynamic, fast-paced team environment.

Desirable:

• Previous experience in an administration, data entry, logistics clerk, or payroll support role.
• Prior experience within a fast-moving recruitment or manufacturing administration environment is beneficial, though full system training is provided.
• A full UK driving licence and own transport are preferred due to multi-site office routing.
