Apprentice Administrator (Estimating & Office Support)

Working alongside our experienced estimating team and Office Manager, you will play an important role in supporting the administration of a wide range of electrical and mechanical building services projects. No previous experience is required as full training will be provided, alongside support to achieve yourLevel 3 Business Administration Apprenticeship .

This paid apprenticeship is ideal for someone who is eager to learn, enjoys working in a fast-paced office environment and wants to develop valuable administrative, organisational and IT skills.

Responsibilities

• Monitoring and managing the enquiries inbox.
• Logging new enquiries and maintaining the estimating register.
• Filing project documentation and updating document trackers.
• Managing incoming and outgoing tender documentation.
• Controlling document revisions and maintaining accurate filing systems.
• Liaising with the estimating team to support project delivery.
• Coordinating enquiries with suppliers and subcontractors, including issuing and following up information requests.
• Tracking project information including programme dates, tender durations and tender returns.
• Assisting with the preparation of tender proposals, Requests for Information (RFIs) and other project documentation.
• Supporting the estimating team with quantity take-offs.
• Setting up projects within estimating software.
• Printing and preparing project documentation.
• Producing schedules and reports.
• Assisting with research into building services products and systems.
• Supporting the completion of Pre-Qualification Questionnaires (PQQs).
• Working closely with other departments to ensure effective communication and coordination.
• Assisting the Office Manager and Document Controller with day-to-day administrative duties.
• Attending college or a training provider (typically one day per week) to complete the Level 3 Business Administration Apprenticeship.

Requirements

• Good organisational skills with the ability to prioritise work and meet deadlines.
• The ability to work both independently and as part of a team.
• A proactive attitude and willingness to learn.
• High levels of confidentiality and professionalism.
• Good IT skills, including Microsoft 365 applications such as Word, Excel, Outlook, Teams and SharePoint.
• Confidence using computers and the ability to learn new software systems.
• A positive attitude, enthusiasm and a strong work ethic.
• An interest in learning about building services engineering and renewable technologies.

Qualifications

• GCSEs (or equivalent) in core subject – English/Maths/IT/Science.

Experience

No previous experience is required. Full training and ongoing support will be provided.
