IFA Support Administrator

Location: Solihull , Hybrid Working Available (following successful settling-in period)
Salary: Competitive, dependent on experience

The Opportunity

An established and growing Financial Planning firm is seeking an experienced IFA Support Administrator to join its supportive and professional team.

This is an excellent opportunity for someone with previous experience within an IFA, Wealth Management or Financial Planning environment who enjoys delivering high-quality client service and supporting advisers throughout the financial planning process.

Following an initial office-based settling-in period, the role offers hybrid working flexibility .

Key Responsibilities

Adviser & Client Support

• Provide comprehensive administrative support to Financial Advisers.
• Prepare documentation before and after client meetings.
• Process adviser instructions and client actions.
• Liaise with clients, providers and professional contacts.
• Handle client enquiries efficiently and professionally.
• Keep advisers updated on case progress and outstanding requirements.

New Business Processing

• Prepare and submit new business applications.
• Process pensions, investments, ISAs, transfers and top-up applications.
• Check documentation for accuracy and completeness.
• Monitor cases through to completion.
• Chase providers and platforms for outstanding information.
• Update clients and advisers throughout the process.

Client Administration

• Support annual review processes.
• Obtain valuations and provider information.
• Process fund switches, portfolio amendments and client changes.
• Prepare Letters of Authority.
• Maintain accurate client files and records.
• Follow up outstanding actions to ensure timely completion.

Systems & Record Management

• Maintain accurate client data and records.
• Manage workflows, tasks and diary activities.
• Record client correspondence and interactions.
• Ensure all case notes and supporting documentation are up to date.
• Maintain high standards of compliance and data integrity.

About You

We are looking for someone who has:

• Previous experience within an IFA, Financial Planning or Wealth Management firm.
• Excellent organisational skills and attention to detail.
• Strong communication skills and a professional telephone manner.
• The ability to manage multiple priorities effectively.
• A proactive attitude and willingness to take ownership of tasks.
• A client-focused approach with a commitment to delivering excellent service.

Experience with financial planning software such as Intelliflo Office (IO) and platform administration would be advantageous but is not essential.
