Service Centre Officer

Exciting opportunity to work in a higher education environment based in Uxbridge, must be able to travel Uxbridge 5 days per week. You must be available from now until 31st April 2027.

Hours 08.00 to 4pm or 9am to 5pm - you will be working Monday to Friday

Pay: 16.34

Summary:

Always ensure a professional and helpful presence, by providing excellent advice and information services to Staff, Students, Contractors and Visitors incorporating good Customer liaison skills and continuously endeavouring to develop a comprehensive knowledge of the University, its structure, personnel and practices.

Key duties and responsibilities of the Service Centre HUB

Reception

• Serve as the primary point of contact at the Reception Desk(s), ensuring all enquiries-whether in person, by phone, or via email-are handled promptly, professionally, and with a welcoming approach.
• Staff the Reception Desk(s), maintaining a tidy, presentable area and ensuring all displayed materials are current and organised and essential office supplies are fully stocked.
• Manage the administration of ID cards, key distribution, and virtual car parking permits for staff, visitors, and contractors.
• Support the annual parking permit renewal process.
• Authorise and manage access to buildings and car parks.
• Process card payments for the extension or renewal of virtual parking permits. Balance and submit daily takings.
• Record and submit maintenance and cleaning requests for the Eastern Gateway Building reported to the Reception Team, ensuring accurate and timely processing.
• Provide assistance with event coordination and facilitation within the Eastern Gateway Building as required.
• Provide support for campus special events, including UCAS applicant days and open days.

Internet Protocol Telephony (IPT)

• Operate the University switchboard, managing all incoming and outgoing calls-both internal and external-with efficiency and professionalism.
• Administer and support the CISCO/Webex telephone systems, including setting up new users, configuring hunt groups, and updating contact centre details as required.
• Provide first- and second-line support for all IPT-related issues across the University, troubleshooting problems with softphones, hard phones, hunt groups, voicemail, and contact centres.

Estates Helpdesk

• Act as the primary point of contact for all maintenance requests across the University.
• Handle urgent maintenance calls promptly, ensuring accurate details are communicated clearly to Infrastructure Delivery Managers (IDMs) to avoid delays and enable swift response by the appropriate team.
• Process all maintenance jobs logged via Assist for the entire University, including submitting requests in Planon, assigning them to the correct IDM, prioritising based on urgency, and providing customer updates as required.
• Maintain both Assist and Planon systems by updating job statuses and ensuring completed tasks are marked as resolved in a timely manner.

Campus Services Helpdesk

• Manage the Campus Services Helpdesk by triaging requests to the appropriate departments and providing customer support as needed.

General Duties

• Respond to telephone and email enquiries across all areas of the Service Centre promptly and professionally.
• Develop and adhere to Standard Operating Procedures (SOPs) for all Service Centre
• Attend all compliance and other relevant training courses provided by the University.
• Assist in training and supporting the development of new staff and students (Jobshop).
• Consistently follow University policies and procedures while performing all duties associated with the role
• Demonstrate flexibility by working in other areas within the Enabling Services Directorate as required, undertaking reception, administrative, and helpdesk responsibilities.
