Sales & Operations Administrator

The Role
We are recruiting for an experienced Sales & Operations Administrator to join a busy and established business.
This is a varied position supporting several areas of the operation, including wholesale customers, contract orders, concessions, retail and warehouse administration .
The role involves working with a significant amount of sales, stock and order data, therefore strong Microsoft Excel skills are essential .
This is not a basic data-entry position. The successful candidate must be comfortable working independently with multiple spreadsheets, reports, calculations and workbooks and be able to pick up existing systems quickly.
Key Duties
Wholesale & Customer Administration

• Answering telephone and email customer enquiries
• Processing customer orders accurately
• Raising invoices using SAGE
• Inputting website and shop sales onto SAGE
• Producing packing lists and associated paperwork
• Managing back orders and monitoring outstanding stock
• Updating customers regarding expected order and delivery dates
• Arranging UK and international freight and deliveries
• Producing FedEx shipping labels
• Assisting with credit control and chasing overdue invoices
• Producing sales and agent reports

Contract & Order Administration

• Producing order forms for the warehouse from customer contracts
• Preparing relevant warehouse and dispatch documentation
• Maintaining forward-order Excel workbooks
• Producing profit and margin calculations for forward orders
• Following individual customer booking-in procedures
• Preparing shipment and incoming stock documentation
• Maintaining accurate records of outstanding and future orders

Concession Administration

• Processing weekly and monthly concession sales information
• Creating barcodes and RRP labels
• Producing packing lists and replenishment sheets
• Booking deliveries and preparing ASN documentation
• Producing seasonal sales information
• Monitoring and organising previous-season returns
• Liaising with concessions regarding seasonal changeovers
• Arranging collections and deliveries

Retail & E-Commerce

• Processing and printing Shopify orders
• Producing Royal Mail and FedEx shipping labels
• Responding to online customer service enquiries
• Processing returns and exchanges
• Maintaining retail pricing documentation
• Producing monthly internet revenue and returns reports
• Providing cover for online order processing when required

General Administration

• Maintaining warehouse logs
• Producing daily out-of-stock reports
• Creating warehouse, stock and product labels
• Updating stock sheets
• Producing customer profit/loss information
• Preparing agent stock, commission and order reports
• Monitoring weekly FedEx costs
• Assisting with brochure mailings
• General administrative support across the office and warehouse operation

Skills & Experience Required
Excellent Microsoft Excel skills are essential.
Candidates must be confident using Excel independently and should be comfortable with:

• Formulas and calculations
• Percentages and margin calculations
• Sorting and filtering
• Working across multiple worksheets and workbooks
• Maintaining existing spreadsheets
• Producing and updating reports
• Manipulating sales, stock and order data
• Checking figures and identifying errors
• Working accurately with large amounts of information

Previous experience using SAGE would be highly desirable.
Experience with Outlook, Word, Shopify, FedEx, Royal Mail or similar systems would also be advantageous.
The successful candidate will be organised, numerate and extremely accurate, with good customer-service skills and the ability to manage several different tasks and priorities throughout the working day.
Please note
This role requires someone with genuinely strong Excel ability who can hit the ground running. Basic Excel knowledge will not be sufficient.
