Job Purpose

To provide administrative, systems and data support across the Production, Planning and Procurement functions, ensuring accurate information is maintained within the ERP system (Prisma) and supporting the effective operation of production planning and reporting activities.

The role is responsible for maintaining accurate production and operational data, preparing reports and performance information, and ensuring information is communicated effectively across departments. The postholder will support operational decision-making, continuous improvement initiatives and general administrative activities, contributing to the efficient and effective running of factory operations.

Key Responsibilities

• Provide administrative support to the Production, Planning and Procurement teams.
• Maintain accurate and up-to-date information within the ERP system (Prisma).
• Record, monitor and maintain production data and operational records to support planning, reporting and operational decision-making.
• Assist with production planning, daily scheduling and communication of plan changes.
• Extract and compile information from the ERP system for reporting, analysis and operational use.
• Create and maintain reports, spreadsheets and performance information.
• Check data accuracy and follow up on missing or incorrect information.
• Maintain accurate and organised records and documentation.
• Liaise with Factory departments to ensure information is communicated effectively and in a timely manner.
• Collect, organise and transfer factory data into computerised systems and spreadsheets, ensuring information is accurate and readily available for reporting and analysis.
• Support day-to-day operational administration and reporting activities.
• Identify opportunities to improve data accuracy, administrative processes and operational efficiency.
• Support the Head of Operations with administrative tasks and operational projects as required.
• Undertake any other reasonable duties commensurate with the role.

Skills, Knowledge & Experience

Essential:

• Previous administration experience within a fast-paced environment.
• Strong attention to detail and a high level of accuracy.
• Good organisational and time management skills.
• Advanced Microsoft Office skills, particularly Excel and data management.
• Ability to work independently and manage multiple priorities.
• Good communication skills and the ability to build effective working relationships across departments.
• Experience working with data, reports and spreadsheets.
• Strong numerical and analytical skills.

Desirable:

• Experience within a manufacturing or food production environment.
• Experience using Prisma or other ERP systems.
• Understanding of production planning, procurement or stock control processes.
• Experience producing reports, analysing operational data and identifying trends.
• Experience supporting process improvement initiatives.
