Warranty Administrator

West End Motors is looking for a Warranty Administrator to join our Aftersales Team and play an integral part in delivering an efficient, high-quality warranty process. This is a great opportunity to join a successful main dealership in a role where organisation, accuracy and strong interpersonal skills are essential.

Duties:

• Prepare and submit warranty claims to manufacturers accurately and efficiently
• Check weekly statements, identify overdue claims, and resolve discrepancies
• Ensure all documentation complies with manufacturer guidelines
• Manage invoices and warranty claims, including open time, clockings, and job card write-ups
• Maintain comprehensive repair order documentation
• Control and return displaced materials to manufacturers in accordance with procedures
• Be conversant with warranty providers’ policies and procedures, including the use of manufacturers’ electronic communication systems
• Build and maintain cooperative relationships with colleagues and customers to ensure high levels of service

Requirements:

• Proven experience in the automotive trade.
• A customer-focused mindset, always aiming to exceed expectations.
• Knowledge of vehicle warranty processes and manufacturer procedures
• Exceptional attention to detail and a logical, organised approach to work.
• Confident using databases — ideally with Pinnacle experience.
• Strong communication skills, both written and verbal.
• The confidence to be assertive when needed.
• Ability to stay calm under pressure and meet tight deadlines.
• Resilience and the ability to prioritise in a demanding environment
