Administrator - Fixed Term

The Marine Bulk Import Facility (MBIF) is a major temporary marine infrastructure project supporting the construction of the Sizewell C nuclear power station on the Suffolk coast. The facility enables the delivery of large construction materials by sea and includes a 463m-long jetty, steel and precast structures, and a cantilevered traveller system (Cantitravel) for modular construction.

Key Project Features Relevant to Roles

• Construction Methodology: Marine piling, modular steel and precast concrete assembly, cantilevered traveller erection system.
• Workstreams: Early Contractor Involvement (ECI), Test Piling, and Main Works.
• Contract Model: NEC3 Option C - Target Cost with Activity Schedule.

The Role

We are looking for a Site Administrator to join the team on a 6-month fixed term contract. This opportunity is available on either a part-time or full-time basis, offering flexibility to suit the successful candidate. Please note that full-time on-site presence is required for this position.

What You'll Be Doing

• Supporting the onboarding of employees
• Assisting visitors with the necessary requirements
• Supporting staff with accommodation bookings and travel as required
• Organising and supporting with documentation including health & safety documentation, compliance record and project H&S files
• Audits & Reporting: Assist with internal/external audits, site inspections and regular compliance reporting.
• Compliance & Accreditations: Maintain contractor accreditations and certifications while ensuring all projects meet under HSE legislation
• Maintain and update office notice boards with relevant information
• Co-ordinate with the internal training and competency team and relay training course requirements to site operatives
• Maintain site registers for briefing attendance / H&S inductions if required
• Act as the first point of call for the client's Office Administrator
• Responsible for ordering and distribution of Personal Protective Equipment for site team
• Perform general office duties such as ordering office supplies
• Data input from site activities to reports and records
• Coordination with Site Management and Resources Team regarding staff and operative training schedule
• General administration e.g photocopying, scanning, booking meeting rooms and filing
• Ordering office supplies and stock check
• Supporting Project Manager and Engineers with report writing/collection of data
• Play an active part in the continuous improvement of administration processes and duties.
• Any other tasks as required

What We’re Looking For

The ideal candidate must have a self-driven attitude and show the ability to use his/her initiative for everyday tasks and be able to work well under pressure.

• A thorough knowledge of Microsoft Office, including Word, Excel, Outlook.
• Knowledge of document control systems preferable – Business Collaborator, PIM etc
• Strong organisational, time management and workload prioritisation skills.
• Attention to detail and accuracy.
• Work well within a team environment but also capable of working without supervision.
• Enthusiastic and proactive with a willingness to learn.
• Work well under pressure
• Experience of office administration in a busy site office with a good knowledge and understanding of Administration duties.
• Excellent communication skills with the ability to quickly establish and maintain strong relationships across all levels.
• To be resilient with a positive and confident approach.
