Document Controller - Excel & Automation

Contract 2-3 Months Hybrid

We are currently recruiting for an experienced Document Controller / Excel & Automation Specialist to support a short-term project focused on developing standardised project, commercial and document control tools.

The role will involve creating advanced Excel-based databases, templates and automated workflows , allowing project information to be maintained in a single master file and automatically populate multiple linked documents.

The successful candidate will work closely with Project Management, Engineering, Procurement, Logistics and Commercial teams to develop efficient solutions that reduce duplicate data entry, improve accuracy and streamline project administration.

Key Responsibilities

Design and develop advanced Excel databases and management tools
Create master data files that automatically populate linked project documents
Develop automated templates for:
Bills of Materials (BOMs)
Packing Lists
Commercial Invoices
Product Data Registers (PDRs)
Vendor Data Registers (VDRs)
Document Registers
Project Tracking Logs
Build formulas, lookups, data relationships, validation rules and reporting tools
Develop automated workflows using Power Query, Power Pivot, Dynamic Arrays and VBA
Standardise document generation processes across project teams
Test and validate tools to ensure accuracy and reliability
Create user-friendly templates and guidance for end users
Provide knowledge transfer and user training before completion

Essential Experience

Advanced Microsoft Excel skills
Proven experience building database-style Excel solutions
Strong understanding of data structures and data management
Experience creating automated templates from a single master data source
Strong knowledge of:
XLOOKUP / INDEX-MATCH
Dynamic Arrays
Pivot Tables
Power Query
Data Validation
Conditional Formatting
Experience developing project or commercial documentation
Strong analytical and problem-solving skills
Ability to work independently and deliver solutions with minimal supervision
Strong communication and stakeholder management skills

Desirable

VBA / Macro development experience
Experience with SharePoint, Power BI or Microsoft 365
Previous experience within engineering, manufacturing, logistics or project-based environments
Experience developing BOM, Packing List, Invoice, PDR or VDR systems
Understanding of document control and project delivery processes
